Why write a statement?

The management of the enterprise does not have the right to impose terms of labor relations on subordinates that were not initially specified in the employment contract. All changes must occur only with the mutual consent of both parties.

Thus, a written application for the transfer of wages to a bank card will indicate that the company employee expresses his voluntary will to do so. In this case, there is no need to draw up an additional agreement to the employment contract regarding the changes that have occurred, since the application itself will be an integral annex to it.

In this case, the money must be transferred strictly according to the details specified in the application. If suddenly funds are used for other purposes, the responsibility for this lies with the employee who made a mistake when processing the payment (i.e., a specialist in the accounting department).

Who can pay salary via card?

Salaries can be transferred to a bank card to any person officially working in an institution, regardless of the type of employment (for temporary or permanent work, full-time or part-time).
If an employee of an institution has announced his desire for the company’s accounting department to transfer his salary to a bank card, he is obliged to formalize his intention by sending a corresponding petition, displaying the details of his bank card. The administration is obliged to accept his request, i.e. refusal in this case is not possible. Also, the transfer does not depend on the type of ownership of the employer (legal entity or individual entrepreneur).

If an employee of an institution does not want his salary to be transferred to the card, he is obliged to notify the boss about this so that he issues an order from the accounting department to pay the employee’s salary at the company’s cash desk.

Why do you need an application to transfer wages to a card?

The legislation of the Russian Federation enshrines the right of an officially employed employee to decide for himself the method of payment of wages.
If the employee has not decided on this point, then management is obliged to issue funds at the company’s cash desk by issuing a cash amount. The employee is also given the right to choose the bank in which he wishes to be serviced. He has the right to change the bank card details at his own discretion. The only responsibility of the subordinate in this case is to timely notify management of his intention to receive a method of receiving his salary and display the bank details in the submitted application, no less than 5 days in advance.

An application for salary transfer to a bank card is required in order to:

  1. The head of the company issued an order to the accounting department on the method of payment for the work performed by the employed person.
  2. There were no complaints from the employee regarding the method of issuing wages (the employee has the right to express a desire to receive wages, either in cash (at the company’s cash desk) or by transfer to a card).
  3. To avoid errors in transferring wages to the card (the employee must clearly display the details of his bank account and card number in the application).

Such a petition must be submitted even if this method of remuneration is reflected in the employment contract.

Note. The request to transfer salary to a bank card is regulated by Art. 136 of the Labor Code of the Russian Federation and plays an important role in the process of mutual settlements between an employer and a subordinate, therefore it is recommended not to neglect this provision.

Advantages of transferring salary to a card

Transferring wages to an employee’s bank card has its obvious advantages over issuing funds in cash.

Firstly, you don’t need to stand in line at the cash register twice a month - money is transferred almost instantly, and secondly, you don’t have to carry large amounts of cash with you (which can be dangerous). Thirdly, with the help of a salary card it is easier, if necessary, to obtain a loan from a servicing bank (at the same time, the interest may be slightly lower than usual, and a deposit can be opened on more favorable terms).

Transfer of travel allowances to a “salary” card

Is it possible to transfer accountable money to an employee’s “salary” or other bank card, for example, if the employee is on a long-distance business trip and the travel allowances issued to him were not enough due to any additional expenses?

The legislation does not prohibit non-cash transfers of travel and other accountable amounts to employees. The main thing is to provide for such a possibility of providing “accountability” by the company’s internal documents (for example, the Regulations on Business Travel and Accounting Policies). In this case, it does not matter whether the employee’s regular bank or “salary” card is used for the transfer.

The Ministry of Finance of the Russian Federation also agrees with this, which in its letter dated August 25, 2014 No. 03-11-11/42288 confirmed the possibility of using “salary” cards of employees to issue them reports and reimbursement of expenses supported by documents. Please note: when transferring money to a card, you must indicate in the payment order that these are accountable funds, and you will have to receive another written application from the employee - with a request to transfer accountable amounts using the details of a “salary” or other bank card specified in the application.

Is it possible to change the card

In most cases, employers independently choose a bank credit institution in which staff accounts will be opened to transfer salaries.

However, every company employee who receives monetary remuneration for work on a bank card has the right to change the credit institution in which he is served at any time.

The accounting department of the employing enterprise is obliged to accept the new details and subsequently transfer wages using them. The exception is those cases when the conditions on the form of payment of wages are specified in local regulations - an employment or collective agreement.

Is it possible to choose or change a bank?

Often employers independently choose the bank through which they pay salaries. But according to Art. 136 of the Labor Code of the Russian Federation, each employee who receives payment for work into a bank account has the opportunity to change the bank in which he is serviced. It is necessary to notify about a change in data for transferring funds no later than 15 calendar days before the next salary payment date.

But an employee has the opportunity to receive a salary at the place of work (Article 136 of the Labor Code of the Russian Federation), at his own request, in cash - at the cash desk of the enterprise. It is not prohibited to transfer salaries to a card without a salary project, and these postings are handled by the accounting department by order of the employer. But then the employee pays for servicing the bank card on his own.

Positive aspects of transferring and receiving non-cash money:

  • there is no need to stand in a long line for money at the cash register;
  • It is convenient to store a bank card in a wallet;
  • banks often provide preferential lending conditions for salary clients.

There are practically no disadvantages. But sometimes older workers are not well versed in all the nuances of withdrawing money from ATMs. It is worth creating a training manual for them.

Is it allowed to transfer salary to a card belonging to another person?

The legislation of the Russian Federation does not prohibit the transfer of wages to the card of another person (for example, one of the employee’s relatives).

In this case, the procedure for registering the transfer of monetary reward to a bank card occurs in the same order, only when specifying the details, data from a third party’s card is entered. In addition, the applicant must also attach to the application a notarized power of attorney on behalf of the person to whose card the money will be transferred.

At the same time, you should understand the difference between the desire of an employee of an enterprise to transfer funds to another person’s card and his obligation to do so. The latter arises in the case of payments in the form of compensation for moral and material damage, payment of alimony, as well as fines or loan debts.

Is it possible to receive a salary simultaneously on a card and at the company’s cash desk?

An employee can choose both a bank transfer and a payment through the company’s cash desk. To do this, in the application for salary transfer, the employee indicates what part of the salary will be paid in what way.

In practice, the following options are encountered:

  • advance payment - in cash, the second part - by card;
  • A fixed amount is issued in cash monthly, the rest is paid by bank;
  • wages are divided as a percentage between both forms of payment.

Sample application

  1. First of all, write in the application to whom it is intended: the name of the organization (full or abbreviated - it does not matter), then the position and full name of the manager (or the employee temporarily performing his functions).

  4. Then indicate from what date you would like your salary to be transferred by bank transfer.

How to start receiving your salary in cash

To begin with, the employee writes a free-form application addressed to the director of the enterprise with reference to Art. 136 Labor Code of the Russian Federation. An employee can ask for approval of his application, but not demand payment in cash - the law does not give such a right.

Can an employer refuse to pay wages in cash?

The employer is obliged to regularly pay wages to its employees. At the same time, he himself decides in what form - cash or non-cash - to do this. An employee may ask to change the form of payment, but the employer is not required to agree to this.

Judicial practice shows that in most cases the courts do not satisfy the demands of employees to switch to cash payments. The main reason is that the employee initially signs an application for the transfer of salary to a bank account upon employment. Or this is immediately stipulated in the labor or collective agreement.

Moreover, if the employee did not sign an application to transfer his salary to the bank, and such a procedure is not enshrined in an employment or collective agreement, the employer cannot refuse to pay him a salary in cash. The citizen himself is free to choose in what form he will receive the money he earns, bonuses and vacation pay. He can choose not only a card or real money, but also a specific bank that is convenient for him.

According to Art. 136 of the Labor Code of the Russian Federation, the employer is obliged to satisfy the request. The exception is cases where the use of the card was specified in the employment contract, which was signed by both parties. In this case, it will be much more difficult to switch to paying wages in cash if the manager is against it.

How to issue a salary in cash: procedure and accounting entries

Salaries must also be paid in cash twice a month. The interval is no more than 15 calendar days between payments. To receive a salary, the employee must go to the organization's cash desk.

To process the payment of wages, use a payslip in form T-49 or a payslip in form T-51.

The algorithm for issuing money is simple:

  • the manager or chief accountant signs the payroll slip and hands it to the cashier;
  • the cashier carefully checks the presence of all signatures and prepares the required amount;
  • cash is given to the employee: to establish identity, the cashier may ask for a passport;
  • the cashier passes the payment document to the recipient for signature;
  • the employee receives his salary and recalculates it without leaving the cash register.

When issuing wages, the accountant makes only one entry: Dt 70 Kt 50 .

Money for salary payments can remain in the cash register for up to 5 days, even if the cash register limit is exceeded. During this time, you need to manage to calculate all employees. The remaining salary must be deposited, that is, returned to the bank. Then the accountant makes the following entries:

Dt 70 Kt 76.4 - uncollected wages deposited;

Dt 51 Kt 50.1 - the deposited salary is transferred to the current account.

At the first request of the employee, the deposited amount must be returned. The accountant will make the following entries:

Dt 50.1 Kt 51 - money was received from the current account to the cash desk for payment of deposited salaries;

Dt 76.4 Kt 50.1 - the employee was given deposited wages.
